Before you create a contact group, it's important to note the distinction between a "Private Group" and a "Public Group": 

  • Private Groups are saved and visible from within Contacts Journal only. You can select any contact you have imported into Contacts Journal.
  • Public Groups are saved to your Contacts app directly, but there are limitations: a) groups are added to only your default Contact account, b) you can only select contacts that belong to that default contacts account, which have been imported into Contacts Journal c) if your default contacts account is an Exchange account, you cannot create or edit a group at all.

To create a group:

iOSpress the Groups button from the main Contacts list, then press Edit. Now, choose “Create Contact Group” or “Create Private Group”. Then, type in a name for the group, and on the next page, select the contacts you want to add to this group. You can also create a new Private Group from the main Contacts page. Press the Edit button, select your contacts and press the “New Private Group” button. 

Mac: select the groups button from the toolbar at the top of the Contacts Journal window (by default, it should be titles "All Contacts"), then scroll down the list to the end, and select either "New Private Group" or "New Public Group". Then, type in a name, and on the next page, select the contacts you want to add to this group.

Create a group and add contacts to it

You can create groups of contacts to make it easier to find specific contacts, such as everyone on your sports team or your healthcare providers, for example.

Contacts includes a default All Contacts group.

Create a group

  1. In iCloud Contacts, click the Add button

    in the sidebar, then choose New Group.

    A new group is added, with a placeholder name.

  2. Type a name for the group, then press Return or click anywhere outside the text field.

    The group immediately appears in alphabetical order.

    To change the group name later, double-click it and type a new name in the text field.

Add contacts to a group

  1. Click All Contacts.

  2. Drag one or more contacts from the All Contacts list to another group on the left.

    You can add a contact to more than one group.

    To select several adjacent contacts, click the first one, then Shift-click the last one. To select multiple nonadjacent contacts, Command-click them on a Mac or Control-click them on a Windows computer.

A contact group comes in handy when you want to send the same message to multiple contacts every time, especially if it’s a party invite or trip discussion. While iOS doesn’t allow to create a contact group directly, you can do so via iCloud or third-party applications, which are as easy as pie.

Note: You must enable contact sync in iCloud. To check and do so, open Settings → tap your profile → go to iCloud → toggle on Contacts.

  1. Visit iCloud.Com on your Mac and sign in with your Apple ID.
  2. Next, select Contacts and tap on the “+” icon at the bottom left corner.

  3. Select the new group option.
  4. Next, name the group, and you’re ready.

Note: This process requires a strong internet connection.

Once you create the group, you can add all the contacts you want in that particular group. All you have to do is drag the contact from ‘All Contacts‘ and drop it in the new group you made.

You can delete the group or a specific contact easily. Here’s how;

Delete group or contact from iCloud

  1. Select the group or contact you wish to delete.
  2. Tap the Actions menu in the bottom left corner and select Delete from the menu.
  3. A menu will pop-up on your screen. Tap Delete to confirm the action.

Tip: You can also delete by selecting a particular contact or the contact group and clicking on the delete button from your Mac’s keyboard.

Use contact groups on the iPhone

  • Check the group you made in the Phone app on iPhone
  1. Launch the Phone app on your iPhone and go to Contacts.
  2. Now, tap groups in the upper right corner.
  3. You will be able to see all the groups you created.

Note: iPhone’s messaging app doesn’t support groups. You can send a message to the group via email.

  • Use it in the Mail app

Send an email to each person in the group in one go.

  1. Open the Mail app on your iPhone and create a new email.
  2. In the “To” section, type the group’s name. You will see the name of the group as a suggestion.
  3. Select that group, type the message, and hit send.  The message will be delivered to everyone in the group via email.

Note: It is crucial to have the person’s email ID saved in his/her contact details. Otherwise, you can’t send an email to that person even if you have added him/her to the group.

  • Use it for Do Not Disturb Mode on your iPhone
  1. Launch Settings and go to the ‘Do not disturb’ option.
  2. Here, you will see the contact groups you created in iCloud.
  3. Tap ‘Allow Calls From‘ and select the contact group.

Besides iCloud, you can also use third-party applications to create a contact group on the iPhone easily. One best app that comes to mind is Groups. It is available on the App Store for free (with in-app purchases).

  1. Open the Groups app on your iPhone.
  2. Tap ‘Add New Label’ to create a new group.
  3. Visit the New Group page and name your contact group.
  4. Tap ‘No Contacts — Add Some’ to start adding contacts.
    Note – You can add or remove contacts by selecting ‘Manage‘ at the top right corner.
  5. Tap Done.

You can also add new contacts directly using this app.

Now, plan your party or trip with less stress. While I usually stick to iCloud for creating contact groups, third-party apps come in handy if you have don’t have Mac at your disposal.
